Job Title: Senior Administrator Assistant
To provide administrative support to REOS Directors in their functional areas to ensure efficient operations. The candidate must have the ability to work both independently and with a team of Directors and staff, under the general supervision of the director. The candidate must also have the ability or experience to draft and edit Word documents, draft and edit Power Point presentations, and develop Excel spreadsheets with direction. Researching, fact-finding and preparing accurate reports will be primary functions. The candidate must have good and established verbal and written communication skills. Ability to work well with others
Essential Duties and Responsibilities:
Scanning, filing, and general record maintenance; maintaining confidential and specialized files, records and reports
Manage and receive the phone calls or the drop-ins from residents at the Mixed, Home Flex communities and for DPA transactions
Set up new vendors with Acquisition Management Services (AMS) and coordinate with IT to grant portal access as needed; coordinate with compliance team to get 50058 templates and payment applications created
Create and maintain excel spreadsheets as prescribed; comfortable and proficient with using software like Excel and databases
Be proficient at multi-tasking and dealing positively with competing priorities
Assist Market Rent Analyst in the processing or rent determination for the Customer Service Group
Complete the in-take process for DPA clients and new file set-up; assist Homeownership Manager with coordinating the DPA closings and tracking report
Review and edit written materials to ensure accuracy, neatness, correct punctuation and grammar; recommend changes to improve readability and clarity.
Research, compile and summarize information to formulate correspondence and respond to various inquiries from internal and external customers
Screen mail and callers to respond to and route inquiries to appropriate personnel.
Coordinate and assist to set up conference calls, meeting notices, meeting rooms, agendas and hand-outs for internal and external meetings
Maintain Outlook calendar(s) and track projects to update the Directors and Vice President as to status and future plans
May be required to perform other related duties as required and/or assigned
Friendly, good communicator, seeks to do extra in helping customers and colleagues
Knowledge and Skill Requirements:
Excellent written and oral communication skills are required.
Requires medium to advanced analytical capability using Excel (v-lookup, pivot tables, data concatenation, etc.). High comfort level learning and using new computer software and data entry systems/procedures.
Must be able to function in an environment of multiple and possibly shifting priorities.
Organization skills are required to ensure that time schedules are met.
Must be able to interface with all levels of company employees.
Requires a functional knowledge of corporate operations.
Accuracy is required in performing all functions of this position. Must demonstrate judgment, tact and diplomacy in dealing with internal and external customers. Initiative is extremely valuable.
Education and Experience: Requires high school diploma or equivalent with some college level coursework is preferred.
Work requires demonstrated proficiency of current office technology and software application(s), and demonstrated use of such technology/applications on a regular basis.
Working Conditions:
Works in an office environment. May require frequent bending, stooping, reaching and prolonged sitting and/or standing. May require regular lifting usually not exceeding 15 lbs. Must be able to work in a deadline-focused and fast-paced environment. May be required to have valid State of Georgia driver’s license and be fully insurable for the purpose of obtaining clearance on company “Authorized Driver’s List.” Occasional over-time work may be required to carry out work demands. Occasional travel may be required.
