Summary:
The Assistant Estimator plays a vital role in developing budgets, hard bid estimates, self-perform estimates, and bid schedules while assisting Project Managers with change orders for work scopes beyond the management team’s expertise. The role also encompasses key pre-construction services tailored to project requirements.
Duties and Responsibilities:
- Bid/Budget Setup:
- Initiate bid numbers and create dedicated folders on the server.
- Obtain and organize RFP drawings and specifications on both the server and FTP site.
- Prints require drawings and prepare bidders’ lists and scopes for self-perform and subcontractor packages.
- Manage the company FTP site and address book; issue bid invitations within 24 hours of receiving information.
- Set up electronic bid workbooks and coordinate pre-bid meetings with owners and subcontractors.
- Bid Period Activities:
- Coordinate subcontractor communication, including scheduling phone calls and responding to RFIs.
- Issues RFIs to owners/architects and relay responses to subcontractors.
- Develop a preliminary project schedule based on bid documentation.
- Conduct quantity verification and take-offs across all trade categories (divisions 1–32).
- Review, analyze, and incorporate subcontractor bids, ensuring all exclusions are noted.
- Identify long lead items and maintain an updated bid status on the company FTP site.
- Organize bid reviews with upper management and prepare win strategies, requesting additional resources as needed.
- Bid Document Preparation and Post-Bid:
- Review all bidder instructions and owner forms; confirm bid submission methods.
- Prepare and compile all necessary documents to ensure timely bid submission.
- Follow up with clients post-bid to assess bid performance and coordinate internal handoffs for successful bids.
- General and Managerial Responsibilities:
- Maintain an electronic bid calendar and develop rapport with trade subcontractors.
- Conduct weekly briefing meetings to discuss project updates and concerns.
- Provide functional support for multiple projects and assume managerial duties within the Operations Department.
- Oversee the recruitment, training, and development of estimating personnel.
- Develop and maintain estimating systems, procedures, resource libraries, and rate files for labor, equipment, and materials.
- Participate in post-bid reviews to capture historical data for continuous improvement.
- Additional Duties:
- Perform other tasks as assigned by management.
Qualifications:
- Education/Experience:
- Bachelor’s degree in civil engineering, Construction Management, Construction Science, Architecture, or a related field.
- Minimum of 2+ years’ experience in construction estimating (prior construction estimating experience preferred).
- Language Ability:
- Proficient in reading and interpreting safety rules, operating instructions, and procedural manuals.
- Strong report-writing skills and effective verbal communication with teams and clients.
- Mathematical Skills:
- Ability to perform arithmetic operations (addition, subtraction, multiplication, division) in various units of measure.
- Competence in computing rates, ratios, percentages, and interpreting bar graphs.
- Reasoning Ability:
- Adept at following written, oral, or diagrammatic instructions.
- Capable of addressing problems with multiple variables using sound judgment.
Required Skills and Software Proficiency:
- Ability to read blueprints and specifications accurately.

- Occasionally required to stand, walk, reach, stoop, kneel, crouch, or crawl.
- Ability to lift and/or move up to 25 pounds.
- Must possess adequate vision abilities (close, distance, peripheral, depth perception, and focus adjustment).
